Mailroom
Outsourcing your mail: hand off as much or as little as you like
Not every business wants to run its own mail. Staff time is short, USPS rules change, and a campaign that goes out once a quarter is hard to keep in practice. Outsourcing lets you choose how much to hand off: just the postal paperwork, the design, or the whole job from your list to the mailbox.
We offer it through our partner Insert Ready, which runs three services for mail: Delegate, Document and Design. You can use one, or stack them so a single list flows from design to presort to delivery.
Insert Ready Document, Design and Delegate are services of InsertReady LLC, our partner. Automated Mailroom sets them up for you; the work runs on Insert Ready's platform and, for Delegate, by its team. Descriptions below are from Insert Ready's own pages.
Delegate: we run the whole mailing for you
For teams that need direct mail to happen without anyone on staff running it. You send the list and the goal; Insert Ready's team designs the piece, cleans the list, presorts, prints and puts it in the mail.
- Tell them the goal: the audience list, the mail-class budget, the drop date and your brand assets. Insert Ready says a coordinator confirms the scope within one business day.
- Design and proof: the piece is built, the list is checked against USPS change-of-address data (NCOA), and you get one PDF proof to sign off. One round of revisions is included.
- Print and mail: printed on digital presses and taken to the right USPS facility for the fastest in-home date.
- Track and report: Intelligent Mail barcode scans show in your dashboard, and after delivery you get a one-page report of pieces mailed and delivered.
Document: the postal prep, done right, run by you
For businesses that print their own mail at volume and want to stop handing lists back and forth between the printer and the post office.
- Upload your list as a CSV file.
- Every address is corrected and checked (CASS and NCOA), with ZIP+4 added and Move Update compliance handled.
- Records are presorted to the deepest postage tier they qualify for, with Intelligent Mail barcodes.
- Download the USPS paperwork (PS Form 3602), tray tags and the electronic documentation (eDoc) ready to submit.
Design: a mailpiece designer that knows the USPS rules
A design canvas for postcards, self-mailers, #10 letters, 6×9 catalogs and brochures, with USPS safe zones, barcode keep-out areas and indicia placement guides already in place. It warns you when a barcode crosses the address block, and a built-in assistant answers layout questions. The finished file goes to print as a print-ready PDF, or straight into Document for a presorted run with the same list.
Which one fits?
- Nobody on staff has time to run mailings: Delegate.
- You print your own mail and want the postage discounts and the paperwork done right: Document.
- You design your own mail and want to know it will pass USPS automation: Design, then Document.
- You also ship packages: Insert Ready Dispatch, from the same partner, on its own page.
- Not sure: call us and describe what you mail, how often and how many.
